1. Overview
Pasadena Clinical Group ("we," "us," or "our") is a California outpatient mental health practice located at 301 N. Lake Ave, STE 600, Pasadena, CA 91101. This Privacy Policy describes how we collect, use, share, and protect personal information through our website (genderaffirmingla.com) and through our administrative interactions with prospective and current clients. Information we receive in the course of providing health care services is governed by HIPAA and California's Confidentiality of Medical Information Act (CMIA), and is described in more detail in our Notice of Privacy Practices.
2. Categories of personal information we collect
We collect the following categories of personal information, as defined under the California Consumer Privacy Act (Cal. Civ. Code §1798.140) and the California Privacy Rights Act:
- Identifiers — name, email, phone number, mailing address, IP address, online identifiers
- Contact and inquiry information — messages submitted through our website forms
- Internet or network activity — pages visited, time on site, referring URL, device type, browser type (collected via analytics, only after consent)
- Geolocation — coarse, IP-derived location only; we do not collect precise GPS location through this site
- Sensitive personal information — including health-related information you voluntarily provide in inquiries, and any information about racial or ethnic origin, religious beliefs, or sexual orientation/gender identity that you choose to share. We treat this category with heightened care under California law.
- Professional or employment information — collected only via the Practicum Application form (program, year, CV)
- Inferences — limited inferences drawn from how you interact with the site (e.g., topical interests), only after consent
3. Sources of personal information
We collect personal information from: (a) you directly when you fill out a form, send us an email, or call our office; (b) automatically through cookies and similar technologies, but only with your consent for non-essential categories; and (c) from authorized agents acting on your behalf.
4. Business and commercial purposes
We use personal information for the following purposes:
- Responding to inquiries and scheduling appointments
- Evaluating practicum applications
- Operating, securing, and improving our website
- Detecting and preventing fraud or unauthorized access
- Complying with legal obligations
We do not use sensitive personal information beyond purposes permitted under California Civil Code §1798.121.
5. How we share personal information
We share personal information only with: (a) our service providers acting under written contract (e.g., our website host, our forms processor, our HIPAA-compliant electronic health record); (b) authorities when required by law; and (c) other parties to whom you direct us to share. We do not sell your personal information for monetary consideration. We do not currently engage in "sharing" of personal information for cross-context behavioral advertising as defined by the CPRA.
6. Your California privacy rights
If you are a California resident, you have the right to:
- Know the categories and specific pieces of personal information we have collected about you
- Delete personal information we have collected, subject to certain exceptions
- Correct inaccurate personal information
- Opt out of sale or sharing of your personal information (we do not currently sell or share, but you may exercise this right preemptively)
- Limit the use and disclosure of sensitive personal information to purposes permitted under §1798.121
- Non-discrimination for exercising any of these rights

7. Authorized agents
You may designate an authorized agent to make a request under the CCPA/CPRA on your behalf. We require written authorization from you and reasonable verification of the agent's identity before acting on the request.
8. Cookies and similar technologies
We use a small number of strictly necessary first-party cookies for site functionality and consent management. We do not load analytics, marketing, or advertising cookies before you give consent for the relevant category. See our Cookie Policy for details and how to change your choices.
9. Retention
We retain personal information for the time needed to fulfill the purposes for which it was collected, to comply with legal obligations, and to resolve disputes. For inquiries that do not result in a clinical relationship, we typically retain contact and message information for no more than 24 months. Clinical records are retained per California Health & Safety Code §123130 and applicable HIPAA requirements (generally 7 years from the last date of service for adults, and until age 19 for records of minors, whichever is longer).
10. Children's privacy
Our website is not directed at children under 13. We do not knowingly collect personal information from children under 13. California provides additional protections for individuals under 16; we will not "sell" or "share" personal information of users we know are under 16 without affirmative authorization.
11. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, and destruction. No system is perfectly secure; we encourage you not to send sensitive personal health information through the website.
12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top of the page reflects the most recent revision. Material changes will be flagged on the website.
